Moving Media GmbH gives Executives Assistants an excellent opportunity to enhance their skills. You will perform administrative duties for executive management. This position calls for flexibility, excellent interpersonal skills, project coordination experience, and the ability to work well with all levels of management and staff, as well as outside clients and vendors. You will work with internal and external parties to organize the various components needed to initiate, run and conclude major projects. Duties include coordinating schedules and activities, placing orders for supplies and services, and tracking progress and results. You may supervise other administrative staff. Responsibilities may include receiving-, placing- and screening calls, making meeting arrangements, conducting briefings, meetings and phone conferences, preparing reports and financial data, training and supervising other support staff, and customer relations. 

Successful applicants possess advanced computer skills along with the ability to train others on system usage. Additional responsibilities may include supporting sales activities, coordinating the submission of proposals, tracking compliance issues, troubleshooting minor technical problems, maintaining department database records, and serving as a liaison between international resellers and staff based in the home office. Other duties may include proactive communication with customers and clients via telephone, e-mail, or regular mail; managing database records; drafting status reports on customer service issues; and supervising staff. In this position you may maintain solid customer relationships by handling their questions and concerns with speed and professionalism. You will perform data entry and use software programs. The job requires research skills to trouble shoot customer problems.

Aufgabenspektrum Executive Assistant - Projektmanager -  Kaufmännische Sachbearbeiter - Angestellte (m/w): 

  • Banking Relations & Neugewinnung von Bankkonten, die Check21 sowie SEPA SDD & eSEPA SCT unterstützen

  • Betreuung von Geschäftsfeldern wie White Labelling & Neue Zahlungsmethoden

  • Online Marketing (SEO, PPC, Newsletter)

  • Investor Relations inklusive Spin Off & Pre-IPO-Aktivitäten

  • Transaction Screening & Transmission Control Service (Abwicklung der Transaktionen mit Banken)

  • Customer Support via Email & Telefon

  • Testing von Software-Anwendungen aus Benutzersicht

  • Demand Management: Betreuung verschiedener Entwickler und Zuweisung von benutzerrelevanten Aufgaben

  • Tagesaktuelle Administration der sogenannten "Action Items"

  • Settlements bzw. Zahlungsverkehr via Online Banking unter Einhaltung der branchenspezifischen Vorgaben

  • Invoicing & Reconciliation

  • Finanzbuchhaltung

  • Verkaufsaktivitäten via Email & Telefon in Englisch & Deutsch

  • Erstellung von Manuals & Trainings- und Präsentationsunterlagen

  • Bearbeitung der Merchant Verträge bzw. Reseller Verträge

  • Compliance-Aufgaben wie folgt: Due Diligence (Sorgfaltspflicht), Überwachung der AML-Regeln, Umsetzung der Know-Your-Customer-Strategie (KYC)

  • Organisation, Teilnahme und gegebenenfalls Leitung von Meetings, Briefings und Telefonkonferenzen in Englisch und Deutsch 

  • Einkauf diverse Produkte & Dienstleistungen via Internet & offline

  • Reiseorganisation für Geschäftsführung

  • Ablage & Dokumenten Management
